Drag and drop in project calendar layout: December 14

After reviewing hundreds (and hundreds) of your helpful feedback submissions, we're happy to announce that the number one request ā€” the ability to drag-and-drop unscheduled tasks into the calendar directly ā€” is now live for Experimentalists!

It's pretty self-explanatory, but here it is in action:Ā 

But that's not all. Our developer Paweł also implemented another of your top requests, and now scheduled sub-tasks show in the calendar layout too.Ā 

And finally ā€” for now, anyway ā€” we fixed a little bug that had the task and the cursor strangely distant from each other when dragging around. Now they're cozy as can be, just in time for winter!

Thanks again for all your valuable feedback ā€” when you're able to provide detailed, well-reasoned feedback, it makes a world of difference, especially when you share how specific features (or lack thereof) impact your flow. šŸ™

Experimentalists can now use a calendar layout for projects!

It's the first major step on our journey toward robust calendars in Todoist.

They're coming, and we're definitely eager to work on them with you.

But first we need to solidify this important foundational step ā€” that's where your experimental testing comes in. šŸ™

Please use our Experimentalist support channel to log any bugs you encounter.

Our beta feedback form is the place to suggest any improvements and to share any details about your specific workflows that might help inform our development. The more you can tell us about how it fits ā€” or how youā€™d like it to fit ā€” into your real life, the better.

To get testing:

First, be sure youā€™re updated to the latest version (instructions), and that your Experimental features are toggled on.Ā 

To make the most out of calendar layout in projects:Ā 

  • Find a project that has a lot of tasks with due dates.Ā 
  • In the top right of the project interface, find the `View` option on web/desktop or tap the 3-dot menu and View on mobile, and select Calendar.Ā 
  • Once selected, all your tasks will be displayed in the new calendar layout. You can drag and drop tasks to change their due date, or assign due dates for tasks in the `No date` panel.Ā

Reclaim your schedule with task durations: Aug 9

Your to-do list can be infinite. Your timeā€¦ not so much. By popular demand, weā€™re bringing task durations to Todoist to help you take back control over your schedule and craft a realistic plan for each day.Ā 

As one Todoister put it when she requested this feature:

ā€œI am an intern at a law firm, a social activist, a student and, of course, I have many other duties in my life. To manage all that, I need to be able to control how much time I spend on each of my tasks in Todoist.ā€

By setting the time youā€™ll start a task and how long it will take, youā€™ll know exactly what will fit in your schedule ā€” and what will just have to wait for another day.Ā 

Then, see your plan neatly blocked out in your calendar app of choice alongside your other commitments.Ā 

Note

Hereā€™s the nitty gritty on how to use task durations:

  • When you click or tap on Time, you can now set the start time and assign a duration to your task.
  • You can also add a taskā€™s duration via Todoistā€™s signature smart Quick Add by typing ā€œforā€ (e.g., ā€œTeam meeting today 4pm for 45minā€ or ā€œWrite first draft 9am for 2 hours 30 minutesā€).
  • If youā€™ve connected your Todoist to a calendar app, the task duration will sync to your calendar automatically (and, on Google Calendar, vice versa with 2-way sync so you can update your tasks from your calendar). More about using Todoist with your calendar

Quick tip

Have you tried time blocking? Itā€™s a simple, yet effective way to cut down on context switching and bring more control back to your workday. Find out how the time blocking method can work for you and how to implement it with task durations in Todoist.

Multi-task drag & drop: June 28

Latest Experiment šŸ§Ŗ

Re-organizing your tasks just got a lot faster with revamped drag & drop on web and desktop. You can now:

  • Select and reorder multiple tasks within a project or section at the same time.
  • Create sub-tasks in bulk by dragging them from left to right to adjust their indent level (or drop sub-tasks on top of their current parent task to turn them into regular tasks).
  • Move multiple tasks to a different project by dragging them to the left sidebar.
  • Know where you drop. Weā€™ve added better visual indicators, so you know where exactly your tasks will land when dragging and dropping.
  • Click and hold anywhere on a task to drag it. No need to find the little grey ā€œhandleā€ to the left of the task.
  • Plus, reordering projects in the sidebar is now faster and smoother.

These subtle improvements will make keeping your Todoist organized that much faster and more intuitive. So you can focus on actually getting things done.

[Update] Add reminders at hyper-speed: June 2

Thanks to your feedback, we've made some changes to the supported formats for the reminders shortcut. The article below (dated May 10th) has been updated to reflect these changes.

To make things even easier, you will now also see a couple of reminder suggestions appear when you type ā€œ!ā€ when creating a task (on web and desktop).

Updated behavior for the "!" reminders shortcut

Set a reminder for a period from the current time (time when added to task):

Filter Assist will make it easier than ever to organize and manage your tasks in Todoist with custom filter views. No more wrestling with complex queries ā€” let AI handle the heavy lifting and effortlessly create the filters you've always dreamed of.

Simply use natural language to describe your filter (e.g., ā€œall tasks for this month in the Work project that are assigned to meā€), and Filter Assist will generate the filter query for you that you can add directly to your Todoist. All Experimentalists can now experience the power of AI-driven filtering with Filter Assist. You can create 3 filters on the Free plan. Upgrade to Pro if you want to create more filters (up to 150!)

How to use Filter Assist

  1. In the navigation menu, select Filters & Labels.
  2. Next to Filters, click the + symbol.
  3. Click the Try it button in the Filter Assist banner at the top.
  4. Describe your filter in the Filter request field and click on Send.
  5. Wait for AI to do its magic. Your filter request will appear in the next window when it's done.
  6. You can change the filter's name, assign a different color, or add the filter to your favorites.
  7. Give a thumbs up or down to let Filter Assist know how itā€™s doing (this will help make it even smarter).
  8. Click on Add filter to add it to your Todoist.
  9. As always, weā€™d love to hear your feedback.

Filter Assist has been rolled out on web/desktop and Android, and is planned for release to iOS very soon. Weā€™re excited for you to experience this new efficient and more enjoyable way to create filters. Give it a spin and let us know what you think of Filter Assist.

Introducing the ā€œ!ā€ shortcut for reminders (web/desktop and iOS)

Add reminders as fast as you can think of them, with our new shortcut support for reminders in Quick Add.

Weā€™ve rolled out this new time-saving feature to all Experimentalists on the Pro plan (available on web/desktop and iOS). Now, the ā€œ!ā€ shortcut will have you adding reminders to any task without breaking a sweat. Simply type ā€œ!ā€ in the task name field, directly followed by the desired time for the reminder (or ā€” on web and desktop ā€” just select one of the useful suggestions that appear).

You can set a reminder for a specific time (like ā€œ!3pmā€), for after a certain amount of time has passed (e.g. ā€œ!2hā€), or to make sure you get notified an X amount of time before your task is due (e.g. ā€œ!30mbā€ or "!30min before"). Todoist will even understand when you add a reminder for ā€œ!laterā€ (i.e. 4 hours later) or ā€œ!tomorrowā€ (i.e. the next day at 9:00 AM).

reminders-quick-add-2.pngIf you create a task at 8 AM, typing "!1h" and "!later" will create reminders for 9 AM (1 hour later) and 12 PM (4 hours later).

To make things even easier, a couple of reminder suggestions will appear when you type ā€œ!ā€ when creating a task (on web and desktop).

Note

Reminders in Quick Add are available to all Experimentalists on the Pro plan. Give it a test run and share your feedback.

Currently, the following formats are supported:

  • Exact time: e.g. ā€œ!4pmā€, ā€œ!2.30pmā€, ā€œ!7:45amā€
  • Period from now: e.g. ā€œ!30mā€, ā€œ!2hā€, ā€œ!1dā€
  • Time before due time: e.g. ā€œ!45mbā€, ā€œ!2dbā€, ā€œ!4hbā€
  • In 4 hours: ā€œ!laterā€
  • The next day at 9:00 AM: ā€œ!tomorrowā€

As we continue to fine-tune the reminders feature, weā€™ll be rolling out more supported formats for the ā€œ!ā€ shortcut. It has been released on desktop, web, and iOS, and will soon become available on Android too. The reminders shortcut doesn't work on global Quick Add on desktop yet, but this will also be added once we release the feature to everyone.

Persistent Completed Tasks (desktop and web)

Experimentalists can now choose to permanently display completed tasks in projects. The new Show completed feature is available on web and desktop and can be turned on for individual projects.

Itā€™s a great way to visualize your ā€œto-doneā€ list ā€” to make sure youā€™re spending your time on the right things and to give yourself credit for all your hard work! šŸ¤—

This feature is not yet available in filtered views, but we hope to add that in the future (and on other platforms).

To admire your progress:

  1. Open the project you want to view completed tasks for.
  2. Click View in the top-right corner of the project.
  3. Turn the Show completed toggle on to always show completed tasks in this project.

Tailor your Quick Add to your workflow: Jan 12

After rolling out this feature on iOS & Android, all Experimentalists will now also have access to the brand new Quick Add tab on the web and desktop where you can choose which task actions you want to display and in what order. Your settings will automatically sync across all platforms. Think of this feature as a way to simplify and tailor your Quick Add to your personal workflow.Ā 

This feature is not yet available on the global Quick Add on desktop, though we hope to add it there in the future.

To activate this experiment:

  1. Go to Settings > Quick Add. Alternatively, open Quick Add > click on the three dots icon. Select Edit Task Actions.Ā 
  2. Show or hide task actions labels according to your preferences.
  3. To reorder your task actions, use the drag handles on the right side of the task action to move actions up or down the list.

Habit Tracker (desktop and web only) ā†’ Install extension

With the new Habit Tracker extension, all Experimentalists can finally start tracking (and celebrating!) their recurring tasksā€™ completion streak (in the task description) and completion history (in the comments).Ā 

To use the Habit Tracker extension:

  1. Click on any task to open the task view, and click on the three dots icon in the top right corner to open the task menu.
  2. Select Integrations > Track Habit.
  3. Donā€™t forget to share your feedback!

Make sure to complete your recurring task each day. As any recurring task that becomes overdue at the end of the day, will cause your streak to reset.

Export to Google Sheets (desktop and web only) ā†’ Install extension

Documenting and reporting on work in progress just became a whole lot easier with the new Export to Google Sheets extension, now available to test for all Experimentalists.

To use the Export to Google Sheets extension:

  1. In any Todoist project, click on the three dots icon in the top right to open the project menu.
  2. Select Integrations > Export to Google Sheets.Ā 
  3. Use the checkboxes to select which task fields (including due date, priority, creation date, description, section, assignee) you want to export > Click on Export.
  4. Donā€™t forget to share your feedback!

Templates (desktop and web only) ā†’ Install extension

All Experimentalists now have access to a new Templates extension that allows you to browse, search, and import templates directly from within Todoist. On top of that, you can use the Templates extension to import one of your existing projects as a template for a new project.Ā 

To use the Templates extension to import from a template:

  1. In any Todoist project, click on the three dots icon in the top right to open the project menu.
  2. Select Integrations > Import from template.Ā 
  3. In the modal that opens, use the search bar to search for a specific template or scroll down to browse the list of templates. Select the template you want to import > Click on Add Template.
  4. Donā€™t forget to share your feedback!

To use the Templates extension to import from a project:

  1. In any Todoist project, click on the three dots icon in the top right to open the project menu.
  2. Select Integrations > Import from project.Ā 
  3. In the modal that opens, select the project you want to import > Click on Import Project as Template.

Task Helper (desktop and web only) ā†’ Install extension

All Experimentalists now have access to a collection of 3 Task Helper extensions, all designed to speed up your work and save you from having to perform some of the following tedious manual actions over and over again.

  • Turn a task into an uncompletable task
  • Apply parent taskā€™s attributes to all sub-tasks
  • Create a follow up task on task completionĀ 

To use the Task Helper extension:

  1. Click the three dots icon that appears on the right side of your task when you hover over it. Or alternatively, click on any task to open the task view, and click on the three dots icon in the top right corner to open the task menu.Ā 
  2. Select Integrations > Select one of the Task Helper extensions.
  3. Donā€™t forget to share your feedback!

Conversation Starters (desktop and web only) ā†’ Install the Conversation Starter extension

With the new Conversation Starters extension awkward silences during your 1-on-1s will become a thing of the past. Simply trigger the extension and 5 conversation starters to help structure your meeting agenda will automatically be added to your Todoist project.

To use the Conversation Starters extension:

After introducing Boards in Today in September, we are now also offering Boards in the Upcoming view for all Experimentalists across all platforms. The perfect way to get a quick visual overview of whatā€™s in store for you for the next 7 days.Ā 

To change your view to Boards in Upcoming view:

  1. Open your Upcoming view.
  2. Click the view icon in the top-right corner.
  3. Click View as > Select Boards.
  4. Donā€™t forget to send us your feedback.

Resetting sub-tasks upon parent task completion (All platforms)

Weā€™ve now rolled out new default behavior when completing a recurring task to automatically reset your sub-tasks (up to 30) for all Experimentalists.Ā 

For those who prefer their sub-tasks to remain untouched upon completing a recurring task we will continue to provide the option to complete your main recurring task only.

To only complete the main recurring task on the web and desktop apps:

  1. Click on the recurring task you want to complete.
  2. In the task view, click on the three dots icon in the top right to open the More actions menu.
  3. Select Complete task only.

To only complete the main recurring task on mobile:

  1. Long press on the recurring task you want to complete.
  2. Select Complete Task Only.

WYSIWYG Editor (Desktop and web only)

After launching our WYSIWYG text editor for task descriptions and comments in July, weā€™ve now enabled the editor for task names as well. šŸŽ‰Ā  Ā 

To use the WYSIWYG text editor on the web:

  1. Add a new task (or edit an existing task) via the task field.
  2. Select the task you want to format.Ā 
  3. Select which formatting you want to apply using the editor.Ā 
  4. Donā€™t forget to send us your feedback.Ā 

Formatting text with the new editor will only be available on the web, but any formatted text will appear as such across the other apps.Ā

To change your view to Boards in Today view:

  1. Open your Today view.
  2. Click the view icon in the top-right corner.
  3. Click View as > Select Boards.

Personalize your Quick Add (iOS & Android)

All Experimentalists will now have access to a new Quick Add tab on iOS & Android where you can choose which task actions you want to display and in what order. Think of this feature as a way to simplify and tailor your Quick Add to the way you work best.

A sleeker sidebar (web only)

Keep your Todoist looking clean and tidy by choosing which views you want to display in the sidebar and whether you want to see the task count for projects. Exciting: bonus, you can also add a Completed Tasks view to your sidebar for faster and easier access to all that youā€™ve accomplished.

To activate this experiment:

  1. Go to Settings > Sidebar.
  2. Use the checkboxes next to the views you want to show.Ā 
  3. Use the toggle to turn the task count on or off.
  4. Donā€™t forget to send us your feedback.
